Job Description:
OFFICE & IT ADMINISTRATOR
Main Objective:
The Office IT Administrator will provide general office and administrative support to the Principal, staff parents and students. They will ensure the smooth running of the office, Welcome Desk and the planning and running of student-focused events. In this role, they will also work on maintaining and monitoring the computer systems and networks for our school and assist staff, students and parents with their technical issues.
Qualifications: Related Community College of Applied Arts diploma plus 2 years of related experience OR 5 years experience related to at least two key areas.

Ability to provide exceptional administrative support, taking direction with flexibility and reliability. Able to handle confidential and sensitive information related to staff, students, families and projects.

Main Duties:
General Office:
-
Ensure that the school office operates in a consistently organized manner
-
Provide relief and ensure coverage/breaks for the Welcome Desk.

Walkie-talkie Check in for staff before school, both nutrition breaks and after school issues

Oversee petty cash record keeping & disbursements
-
Additional administrative duties as requested by the Principal, Vice-Principal or staff
IT Support:
-
Troubleshoot and resolve issues with software or hardware.
-
Walk colleagues through steps to help them resolve their technical problems.

Maintain procedures and reports that provide technical support to the entire organization.

Support the implementation of new solutions or applications.

Establish accounts for new users and assist with basic training; and update email groups as needed

Be familiar with all hardware used as educational technology in the school. It includes, but is not limited to Windows Laptops, Chromebooks, iPad’s, Swivl Cameras, Smart Boards, Printers and document cameras.

Be familiar with software we use at JKCS. It includes but is not limited to, Microsoft products, Google Suite for education, JamF software for the iPads, Chrome Management, Donor Management, Quickbooks
Database Management:
-
‘Super-user’ of Sycamore (JKCS school information system) and assist staff as needed.

Setting up, organizing, maintaining and updating school database for students/staff/families.
-
Generate forms, lists and communication from the school database as needed.
-
Annual database archiving and progression of students, creation of classes, teachers, subjects, new class lists.
-
Uploading photo files of students/staff to the school database from the photography company.
-
Setup annually and maintain the database for the school-wide emergency announcements via automated web based database platform. (ie: ‘Call-Em’All’)
School Reporting:
-
Responsible for annual Reports to the Ministry of Education (ONSIS), Christian School International, Vocate, Ontario College of Teachers, other reports as needed.
Office Equipment:
-
Responsible for maintaining office equipment including the phone system, office microphone, printers, photocopiers, mail machine, laminator, walkie-talkies, and any other office equipment as needed.

Event Support:

Planning and/or administrative/IT support for the following events:

Learning Conferences (Nov/Dec & April) and book group conferences as needed.

Track & Field Day (standings lists and score sheets)

Membership Meeting (IT support)

Graduation (IT support)

Time Allotted:
This will be an hourly paid position 5 days a week from 8am to 4pm from approximately mid-August to early July every year. Vacation time normally includes approximately six weeks of summer vacation, two weeks at Christmas, and one week at March Break. PD days as required by the Principal or designate. Exceptions will be made as necessary by the Principal or designate in conversation with the employee.
Accountability:
Directly accountable to the Principal or designate. An annual employee meeting will assess personal performance and review this job description.
Remuneration:
The hourly rate is calculated as per the Edvance/Vocate grid. Benefits and Pension (8.05%) are also included.
